Onvio Firm Management and Ignition

Learn how to connect Onvio Firm Management to Ignition, create work in Onvio and map clients between both systems!

Please note: The Onvio Firm Management integration is a premium workflow integration and is only available on our Pro and Pro+ plans. If you are on our Core plan or a legacy plan, you will need to upgrade your plan before being able to connect to Onvio Firm Management. Connecting to Onvio Firm Management

  1. Navigate to the Apps tab → click the Onvio Firm Management tile.

    The Onvio Firm Management admin will be the only user with permissions to connect the integration. After clicking on the Onvio Firm Management tile, they will enter in their Onvio Firm Management ID to connect.

  2. Once connected, you’ll set up the Client settings, Workflow settings, and Invoice settings.


    Under Client settings, you'll have the option to sync the Client Name or nothing. We suggest ensuring this is set to Client Name.

    Click Confirm when you are done.

    (Note: This is a one way sync from Onvio Firm Management to Ignition)


    Under Workflow settings, you'll see an option to enable workflow automation, which allows you to deploy projects in Onvio Firm Management from Ignition.


    We suggest you enable this toggle all the time as you'll always have the option to choose not to deploy any work items whenever you like. Click Save when you are done.

    Under Invoice settings, you'll see an option to enable creating invoices, which allows you to create invoices in Onvio Firm Management from Ignition.

  3. Once you have checked your Sync, Workflow, and Invoice settings, click Enable app to turn the Onvio Firm Management integration on.

Mapping Ignition services to Onvio Firm Management services and projects

You can map Onvio Firm Management services and projects to your Ignition services by navigating to a specific service in Ignition → Apps tab → Link Onvio Firm Management services and projects.

This will help save you time during the Automations step of the proposal editor when you are creating a proposal.

Note: You can also add more than one Onvio Firm Management project to one Ignition service if you wish. This can be useful if you offer packaged services.


Importing and mapping Onvio Firm Management client details

You can import your clients into Ignition directly from Onvio Firm Management in the Clients tab → Import → Onvio Firm Management.

Note: Only Active Onvio Firm Management clients will be displayed. Inactive clients will need to be made Active in Onvio Firm Management before importing into Ignition.

To change or edit a client’s Onvio Firm Management mapping, navigate to a specific client record → Edit → Apps tab → Onvio Firm Management mapping.


Creating Onvio Firm Management projects from Ignition proposals

Once you've enabled the Onvio Firm Management integration, you’ll see a step called Automations within the proposal editor. This is where you can create projects in Onvio Firm Management which are based on the services inside of the proposal.

The projects populated here are linked to the services that are added in the Services step. See this section for more information.

If you do not want a project to be deployed, simply select Don't create project in the Onvio Firm Management Project dropdown menu.

If you want to deploy more Onvio Firm Management projects that aren't listed in the Automations step → click Add other projects and select the specific project required.


Creating a new client in the proposal editor

If you are creating a project from an Ignition proposal, the Ignition client must be mapped to a client in Onvio Firm Management. This can be done by either linking an Ignition client to an existing Onvio Firm Management client, or creating the Ignition client as a New client in Onvio Firm Management.

To create a new client, clicking the New client button will create them in Onvio Firm Management once the proposal is accepted. If creating a new client, you’ll need to choose the client’s entity type in Onvio Firm Management.

If a client is already created in Onvio Firm Management, you can link them by clicking the Existing client optionsearching for their client name in Onvio Firm Management. Once the client is located, select it and click the Link Client button.

FAQs

Why am I not able to connect Ignition to Onvio Firm Management?

Only the Onvio Firm Management admin will be able to connect the integration. Ensure that the Onvio Firm Management admin is created in Ignition as an Admin user role and that they are using the same email address as the one associated with their Onvio Firm Management admin user.

I've made changes to my Onvio Firm Management project templates, how can I import them into Ignition?

After you have created your Onvio Firm Management project template, navigate to Apps → Onvio Firm Management and click Sync. This will sync your current templates available in Onvio Firm Management to Ignition and allow you to then map them to your Ignition services.

If I have both Onvio Firm Management and UltraTax CS, where should I import my clients from?

If you use both Onvio Firm Management and UltraTax CS and want to get your clients set up in Ignition, it is a best practice to first send your clients from UltraTax to Onvio Firm Management and then import your clients from Onvio Firm Management into Ignition.

What do I do if I don’t see my clients listed in the list of available clients to import from Onvio Firm Management into Ignition?

Ignition will only display clients that are listed as Active clients in Onvio Firm Management. Clients that are listed as Inactive in Onvio Firm Management are not available to be imported. To import these clients, Change them to Active in Onvio Firm Management. Then in Ignition, navigate to Apps → Onvio Firm Management and click Sync. You should now be able to import your client.
