Multi-Office: Managing your organization in Ignition

Multi-office support in Ignition lets firms with more than one office, entity, or brand run each one as its own workspace while managing shared settings from a single organization.

Organization manager

From the Organization manager, you can:

  • See and manage all of the workspaces in your organization

  • Create services once and share them with some or all of your workspaces

  • Build proposal templates using organization services and push them to your workspaces

  • Manage your team's access to each workspace from one place

  • Switch between workspaces without logging out

Available to customers on Enterprise plans only.


Getting access to multi-office

Organizations are set up for you by the Ignition team. If you'd like to bring multiple offices into one organization — or add a new office to your existing organization — reach out to your Key Account Manager at Ignition and we'll get it set up.

Switching between workspaces

Once you're part of an organization, you'll see every workspace you have access to when you log in. Select a workspace to jump straight into it.

To move between workspaces while you're working, click the menu in the bottom-left corner of the app. From there you can:

  • Switch workspace — return to the workspace picker

  • Manage organization — open the Organization manager (only visible if you have permission to manage the organization)


Organization manager

The Organization manager includes four sections: Workspaces, Services, Templates, and Users. To return to your practice, click Back to workspace in the bottom-left corner.

Workspaces

The Workspaces page lists every workspace in your organization, along with its practice principal and number of users. Your primary workspace is labelled Primary.

From here you can rename a workspace if needed.

Services: create once, share everywhere

The Services page lets you create organization-level services and share them with your workspaces, so pricing and descriptions stay consistent across every office.

Creating a service

  1. In the Organization manager, go to Services and click New service.

  2. Add the service name, description, pricing (price type, price, and tax rate), and billing mode — just like creating a service in a workspace.

  3. Click Save.

You can also click Import to bring in services in bulk — for example, if you've exported services from one of your workspaces and want to make them organization services.

Sharing a service with workspaces

  1. Select the service and choose Share with workspaces.

  2. Pick the workspaces that should receive the service (or Select all), then click Share.

Each selected workspace gets a linked, managed copy of the service. When you update the organization service later, click Share changes to push the update to every workspace it's shared with. If a workspace needs a local variation, workspace users can duplicate the managed service and edit their copy.

Proposal templates

Under Templates → Proposals, you can build proposal templates at the organization level and share them with workspaces the same way as services.

  1. Go to Templates → Proposals New template.

  2. Build the template as usual, adding services from your organization services.

  3. Click Save & close.

  4. Select the template, choose Share with workspaces, pick the workspaces, and click Share.

If a selected workspace doesn't have the template yet, it will be added; if it already does, the template will be updated. Use Share changes to push future edits.

Managing users

The Users page shows everyone in your organization. When you add or edit a user you can control:

  • Workspace access — toggle exactly which workspaces the user can access, so team members only see the offices they work in

  • Can manage organization — allow the user to add users to the organization and manage workspaces

A user must have access to at least one workspace.


Dashboard

A consolidated organization dashboard with rolled-up reporting across all workspaces, which will become the home page of the Organization manager.

FAQs

Can I move a client from one workspace to another?

No, Clients can not be moved between workspaces from the Organization Management section.

Does each workspace have its own billing/subscription?

Workspaces inherit the subscription from the Organization. One subscription covers all workspaces.

Who can manage the organization?

Users with the "Can manage organization" permission enabled on their profile.

Can a workspace customize a shared service or template?

Yes — workspace users can duplicate a managed service to make local changes.
