By now you should be comfortable creating & sending out proposals.
The next (and final) step of implementing Ignition is to get proposals out to all of your clients, bringing all your engagement data into one place and automating all of your payment collection.
Rather than having to create proposals 1 by 1 for every client, Ignition can help you by performing what we call a Bulk Kick Off (BKO).
How a Bulk Kick Off works
A BKO is done by first creating some template proposals in your Ignition account.
Then, we use a spreadsheet file containing your clients details and assign template proposal numbers to specific clients of your choice.
You send the file to us, and our team will process this file for you - replicating your template proposals across your entire client base to quickly create draft proposals ready for you to review and send!
To simplify this, let's break it down;
1) Creating proposal templates
Firstly, think about your client base. It's likely that most of your clients can be placed into buckets with very similar, or identical, engagements.
Common examples: Small/Medium/Large packages, STP Authorities, Individual tax returns, SMSF clients
Once you've identified these different proposal types, create a proposal for each one with a dummy client attached (you can use our Space Ranger dummy client, or create your own).
2) Export your updated client list to a spreadsheet
In your Ignition account, jump into the Clients tab on the left hand menu.
If your account is connected to XPM then your full client list will be already in Ignition and you can export them to a spreadsheet by hitting Export at the top right.
If you aren't using XPM then you can hit Import at the top right and click on client import template to download a spreadsheet that you can add your client details to.
If you have already imported all of your clients and simply need to update client details in bulk, click here for a guide on how to do this.
Exporting your client list
Click on Clients, then click on Export (in the top right corner). The system will send you an email containing a CSV file with your clients details.
Once ready, download the file.
Then, copy the columns containing Client ID and Client Name to the bulk proposal creation CSV file (see next step)
3) Download and complete the BKO spreadsheet
In the BKO spreadsheet, copy the columns containing Client ID and Client Name from your updated client list CSV to the bulk proposal creation CSV file.
Next, find and copy across the relevant template proposal ID numbers to the clients receiving these proposals in the BKO file. Make sure to copy these into the Rollover Proposal ID field.
The template proposal ID numbers can be found in your proposal list.
Your final result in the BKO file should look something like this:
Once you are done, save the file!
4) Email us the spreadsheet
Once you have added all of your data to the bulk proposal creation spreadsheet (CSV file), email it to onboarding@Ignitionapp.com.
Also within the same email, please let us know the email address associated with your Ignition account so we can process it for you!
Our team will then action this in the next 1-2 business days.
Once we complete this, you'll be able to see all the proposals created in a Draft status in your account ready for you to review & send out!
