Proposal Templates Overview

Proposal templates are a new efficient way to create a new proposal using our New Proposal Editor, giving you a kick-start to the proposal building process!

You can use the proposal templates to:

  • Get high-quality proposals sent out faster while saving time

  • Standardize client engagements by creating templates your entire team can use with less hand-holding

  • Simplify your proposals by creating standardized templates for your most popular services

There are two types of proposal templates that you can use in Ignition.

  • Provided templates give you a place to start for real world "out of the box" proposals - ready for your clients to accept

  • My templates give you the ability to create your own custom templates that are unique to your account (Available on Core, Pro, Pro+ and Scale plans)

Getting started with Proposal Templates

Proposal template library

Navigate to the Templates tabProposals to view, create, use, edit, duplicate, and delete proposal templates.

Within the proposal editor

You can find proposal templates within the New Proposal Editor when you are creating or editing a new proposal.

Click Templates to make the templates slider appear.

Here, you will see the two options - Provided templates and My Templates.


My Templates

If you are on our Core, Pro, Scale or Pro+ plans, you have the ability to create and save your own unique custom templates specific to your business that your entire team can use.

Please note that only Ignition Administrator users can create a custom template.

Creating a template (from scratch)

Use the NEW proposal template editor to create and edit custom proposal templates.

  1. Navigate to the Templates tabProposals

  2. Click + New template to open the proposal template editor

  3. Build out the template based on the services you wish to offer on a proposal

  4. When complete, click Save template

  5. Enter a name and description for the template (there is a 40-character limit for name and 60 for description).

  6. Click Save! The template is now ready to use and will appear in your proposal templates library for all users.


Creating a template (from existing proposal)

Easily create templates from existing proposals in any status (Draft, Awaiting Acceptance, Accepted, Lost and Complete).

  1. Open the proposal drawer by clicking on an existing proposal in Ignition within a client's file or the Pipeline

  2. Click More Actions → Save as template

  3. Enter a name and description for the template (there is a 40-character limit for name and 60 for description).

  4. Click Save! The template is now ready to use and will appear in your proposal templates library for all users.


Editing an existing template

Please note that only Ignition Administrator users can edit existing templates.

Proposal template library

  1. Navigate to the Templates tabProposals

  2. Find the template you need to edit

  3. Click the (⋮) button → select Edit to open the proposal template editor

  4. Make the edits to your proposal template

  5. When complete, click Save template

  6. Update the name and description, if needed

  7. Click Save.

Please note: If you have changed a service in your service library, you will also need to update it in any custom proposal templates that contain that service. Otherwise, your proposal template will pull through the old service!

Within the proposal editor

  1. Click Templates to open the templates pop-up window and select My templates.

  2. Select 3 dots menu (⋮) → Edit.

Note: You can also duplicate a proposal template via the 3 dots menu (⋮) → Duplicate in both the templates tab and from within the proposal editor.

Deleting a template

Please note that only Ignition Administrator users can delete a template.

Proposal template library

  1. Navigate to the Templates tabProposals and select the template you would to delete.

  2. Click the 3 dots menuDelete.

Within the proposal editor

  1. Click Templates to open the templates pop-up window and select My templates.

  2. Select 3 dots menu → Delete.

  3. Confirm to delete.

User permissions

Different user permissions within Ignition will affect how each user type can control proposal templates.

  • Admin - Can create, edit, duplicate, use and delete templates.

  • Standard - Use proposal templates only

If you are a standard-type user in Ignition, please reach out to an Admin user and ask them to assist with any required changes to your templates.


FAQ

Why have I discovered a few new services in my service library that I haven't uploaded?
This is because you have used a provided proposal template. If you are using a provided proposal template, it will load the services inside the proposal to your service library in order to create the proposal.

Why am I not able to send a Provided Template?
If you have downgraded to a Starter plan or if you are on a Starter plan and have selected a Provided Template with proposal options, you will need to remove the options on the proposal in order to send it. A tip is to keep the most appropriate option and to remove the rest.

Alternatively, please use the template version that does not include options.

How come I don't have the ability to create templates in my account?
My templates are only available on Core, Pro, Pro+ and Scale plans. Additionally, this feature is part of our New Proposal Editor experience and is not available on our Classic Proposal Editor. Consider whether the New Proposal Editor is right for you by reading this article. If you would like to opt-in, see this article on enabling the New Proposal Editor

Can I use my templates during my trial?
Yes, you can! You have full access to your templates during your Ignition trial.

What happens with proposal templates if I downgrade to the Starter plan?
You will no longer be able to create, edit, delete or use your templates in newly created proposals.

For provided templates, you will still always have access - however, for provided templates with options, you will need to remove the options on the proposal in order to send it. A tip is to keep the most appropriate option and to remove the rest. Alternatively, please use the template version that does not include options.

For draft proposals that have been saved from a template, you will still be able to see and edit the proposal as per usual.

Do I need to opt-in to use proposal templates?
If you would like to use your templates, you need to be on a Core, Pro, Pro+ or Scale plan.
