You can now set up automatic invoice reminders for your clients - either at the account level (default for all invoices) or customised per invoice.
These reminders help ensure that clients are nudged at the right time to make a payment, reducing the chance of invoices going overdue.
Why use invoice reminders?
Get paid faster - reduce the number of overdue invoices
Improve cash flow - more predictable revenue from client payments
Reduce manual follow-up - set and forget your follow-up process
How this is different from upcoming payment reminders
Ignition has two separate reminder settings, and they do different jobs:
Upcoming payment reminders go out before Ignition automatically collects a payment. Learn more here.
Invoice reminders (this article) go out after an invoice has been sent and is still unpaid, nudging your client to pay.
Turning one on or off has no effect on the other.
How it works
Account-Level Reminder Settings
Configure your default reminder rules from your Payment Settings. Here you can:
Choose when reminders should be sent
Set how many reminders to send
All invoices that are billed manually, billed automatically and Request Payment flows will use these invoice reminder settings by default.
Invoice-Level Reminders
Need to handle a special case or a VIP client? You can override the default settings on a per-invoice basis.
When you send a manual invoice, you can adjust the settings of the invoice reminder for that specific invoice when you scroll down to the Reminder section.
Adjust the reminders for that specific invoice as you wish, and click Send!
Whenever you send an invoice or create a payment request, you can choose to
Enable / disable the invoice reminders
Set up your own custom reminder timing
This allows greater flexibility for your clients while keeping your default automated reminders simple.
What your client sees
Your clients will receive either a standard invoice reminder email or an overdue reminder email. See the examples below.
Note: These emails will have your logo, practice name and brand color attached.
Invoice reminder emails
Reminder: Your invoice from [PRACTICE NAME] is due soon
Overdue invoice reminder emails
Reminder: Your invoices from [PRACTICE NAME] are overdue
What happens when an invoice is paid?
We’ll automatically stop sending reminders once the invoice payment is received from the client. There is no manual intervention needed.
Best practices
Set up default invoice reminders that suit your business needs
Use invoice-level overrides for sensitive or custom arrangements
Monitor late payments in your dashboard to assess reminder effectiveness
Please note: If you are using Xero invoice reminders, QuickBooks invoice reminder or an external app to remind your clients to pay, we strongly recommend considering how they will interact together.
In most cases, we suggest you to:
Turn off any external invoice payment reminders if you are using or going to use Ignition payments
Turn on Ignition invoice reminders to avoid double-billing and additional admin (e.g. communication with clients) you may need to do.
FAQs
Q: Will reminders be sent if a client has already paid?
No. Once an invoice is paid, all future reminders are automatically stopped.
Q: Can I see which reminders were sent?
Yes. Reminder activity is logged in the invoice history for full visibility.
Q: Are invoice reminders sent for scheduled payments?
No. Ignition will not send invoice reminders for any scheduled payments (i.e. invoices that have been scheduled to collect with a payment method attached)
Q: Why are clients still receiving existing scheduled invoice reminders after I turn off the invoice reminder toggle?
Turning off the invoice reminder toggle only prevents new reminders from being created. It doesn’t cancel any reminders that were already scheduled before you turned the toggle off, so those existing reminders will still be sent to your clients as scheduled.
