Void or Delete Invoices in Ignition

Learn how to void and delete invoices in Ignition and how this affects your accounting software.

Voiding Invoices

To void an invoice in Ignition, select the invoice that you would like to void and click More actions → Void invoice.

You can do this by navigating to a specific client's invoice, or you can do this in bulk via your Payments → Collections tab.

Please note: You can only void or delete invoices if payment has not been collected yet.

i.e. You can only void invoices that have these statuses:

  • Not scheduled

  • Not started

  • Cancelled

After clicking Void invoice, you will be prompted to choose a reason for voiding the invoice as well as an opportunity to provide an optional note to support the reason.

The reason indicated and option note will be displayed in the activity log for the voided invoice.

Showing voided invoices

Invoices that have been voided will still be recorded under a client's Invoices tab.

A toggle is available to show/hide voided invoices on this page.

Please note: Only Admin users will have access to voided invoices.

Data from voided invoices

If you void an invoice, it will be excluded from CSV exports and your Home page.

The data from all voided invoices will also be hidden from your Collections tab and your client's Invoices tab (by default)

Accounting software sync

If you have connected an accounting software to Ignition (e.g. Quickbooks, Xero or MYOB), we currently support a one way sync from the accounting software → Ignition.

This means if you are voiding an invoice in Ignition, you will need to manually manage the corresponding invoice in your accounting software.

If you void an invoice in your accounting software, Ignition will detect the changes and will also void the invoice in Ignition. This helps improve accuracy and declutter your experience in Ignition

To view the voided invoice, navigate to your clients Invoices tab and enable the Show voided invoices only toggle.

Delete Invoices

To void an invoice in Ignition, select the invoice that you would like to delete and click More actions → Delete invoice.

After selecting to delete and invoice, you will be prompted to confirm the action. After an invoice is deleted, it will no longer be available and you will no longer be able to retrieve it inside of Ignition.


Voiding or Deleting Invoices In Bulk

To void or delete invoices in bulk, navigate to the outstanding invoices in your Payment Collection section. From here you can select multiple invoices to be voided/deleted and carry out the action by selecting the appropriate option from the “More actions” dropdown.


Your client's experience

Voided or deleted invoices will not send an email or a notification to your clients.

If your clients try to access a voided/deleted invoice, it will not appear for them in their client portal.

If they try to access their portal and have no outstanding invoices, the following screen will appear:


FAQs

Can I void or delete an invoice that has a payment attached to it?

No, If payment has been processed for an invoice, it is no longer eligible to be voided or deleted.

If a payment fails to process, am I able to still void or delete the invoice?

Yes, if a payment fails to process you are able to void or delete the invoice as long as you first cancel the payment collection on the invoice.

If I void or delete the invoice in Ignition, does the status sync back into my accounting software (e.g. QBO,Xero)?

No, If you void or delete an invoice in Ignition, this will not sync back to your accounting software. It is recommended that you update your accounting software manually as well when carrying out these actions.
