Advanced roles and permissions

See what each user role can do in Ignition, and customize permissions for the Member, Sales, Billing and Viewer roles.

Give everyone on your team exactly the access they need, and nothing more.

Every user in Ignition has one role, and that role decides what they can see and do. Advanced roles and permissions adds three more roles to choose from, Sales, Billing and Viewer, and lets you switch individual permissions on or off for each role.

This article covers every role, what each one can do, and which permissions you can change.

Advanced roles and permissions is currently invite only. You can register your interest from Settings → Labs. Until your account has access, only the Admin and Member roles are available.

Only an Admin can add users, change someone's role, or open Manage roles.


List of roles in Ignition

Admin

Has access to all features, settings and data. This is the only role that can manage users, templates, the service library, integrations, branding and your Ignition subscription. The Admin role can't be customized.

Member

Can use most features, but can't manage templates, settings or revenue. This is the standard role for people who work with clients day to day, creating and sending proposals and managing client invoicing and billing.

Sales

Can create and manage proposals, with flexible access to billing. Built for people who sell but shouldn't necessarily be issuing invoices or collecting payments.

Billing

Can issue invoices, collect payments and view business revenue. Billing users can see proposals but can't create or edit them.

Viewer

Can view clients and business activity without editing anything. A read only role, useful for advisors, bookkeepers, or anyone who needs visibility but shouldn't make changes.

There's also the Principal user, the person who created your Ignition account. The Principal user is always treated as an Admin, receives general error notifications, and is linked to your billing details.

Additional permissions

There are also three switches on a user’s profile. No matter which role someone has, these switches allow you to control extra access for their user profile specifically.

You'll find them under Settings → Users → click a specific user.

Allow user to manage Ignition subscription

Lets this user view and change your Ignition subscription and billing details, whatever their role.

Allow user to manage Compliance

Gives this user access to Compliance, whatever their role.

Allow user to view Reports

Gives this user access to Reports, which cover your whole practice, whatever their role.

Note: This switch only appears if Reports is available on your plan.


What each role can do

A tick means the role has that permission by default. Rows marked with an asterisk can be changed from Manage roles, see Which permissions you can customize.

Which permissions you can customize

You can customize the Member, Sales, Billing and Viewer roles. The Admin role can't be changed.

A tick means the permission is available for that role and is on by default. Turning it off removes it for everyone with that role.

Each switch in Manage roles carries its own description, so you can see exactly what it covers before you change it.

Issue invoices, Collect payments and View collections and payouts all depend on View billing. If you turn View billing off, those three switch off with it and can't be switched back on until View billing is on again.


How to customize a role's permissions

  1. Go to Settings → Users.

  2. Click Manage roles.

  3. Find the role you want to change and click the pencil icon. The Admin role can't be customized.

  4. Expand a section and switch permissions on or off.

  5. Click Save.

The change applies immediately to everyone with that role. If someone is using Ignition at the time, they'll see the change after their next page load.


How to change someone's role

  1. Go to Settings → Users and click the user you want to change.

  2. Click the dropdown under Role.

  3. Click Save.

Good to know

  • One role per user. If someone needs to do more than their role allows, either change their role or switch the permission on for that role.

  • Role changes affect everyone with that role. Permissions live on the role, not the person, so there's no way to give one individual an exception.

  • The Principal user is always an Admin, and their role can't be changed from Settings → Users.

  • Turning a permission off hides it, it doesn't delete anything. Work that's already been done stays in place.

FAQs

How do I get access to Advanced roles and permissions?

It's currently invite only. You can register your interest from Settings → Labs.

Can I give one person an exception without changing the whole role?

No. Permissions are set per role, so any change applies to everyone with that role. If one person needs different access, move them to a different role.

Can I customize the Admin role?

No. The Admin role always has access to everything and can't be changed.

Do permission changes apply straight away?

Yes. The change applies immediately to everyone with that role. If someone is using Ignition at the time, they'll see it after their next page load.

What happens to work someone has already done if I take a permission away?

Nothing. Turning a permission off hides that action from the role going forward. Anything already created stays in place.

Can a Viewer see billing?

Yes. A Viewer can view billing schedules, invoices, Collections and Payouts, but can't create, edit or send anything.
