Connect HubSpot to bring your HubSpot companies into Ignition as clients, with their contacts attached. Ignition checks each company against the clients you already have, so you can link them to existing clients instead of creating duplicates.
Once connected, Ignition syncs your HubSpot companies once a day, so linked clients stay up to date without manual data entry.
Note: The HubSpot integration is available on the Pro plan and above.
HubSpot is currently in limited release, so only a limited number of Ignition accounts can connect it for now. Access will open up to more accounts over time.
If you’re unable to connect, reach out to our support team via the chat bubble or at help@igntiionapp.com and we’ll let you know when it’s available for your account.
Before you begin
You need a permission set that allows you to connect apps.
During sign-in, HubSpot asks you to choose an account. Pick the account that holds the companies you want in Ignition.
Clients can only sync into Ignition from one app at a time. If you already sync clients from another app, such as Xero, QuickBooks or a practice management app, turn that app's client sync off first.
What syncs from HubSpot
The integration syncs one way, from HubSpot into Ignition. Ignition doesn't change anything in your HubSpot account.
From each company:
Company name (If a company has no name, Ignition uses its website domain instead)
Phone number
Website
Lifecycle stage (shown on the client as a Lifecycle stage detail you can filter by)
A link to the company's record in HubSpot
From that company's contacts:
First name
Last name
Email address
Phone number
Mobile number
If a company has no contacts in HubSpot, Ignition creates one from the company's name and phone number, so the client still has someone to address.
What doesn't sync:
Deals
Tickets
Notes
Tasks
Activities
Company addresses
Record owners
Custom properties
Note that HubSpot lists and workflows don't affect what syncs.
Connecting HubSpot
Go to Settings → Integrations tab → select HubSpot.
Select Connect account.
Sign in to HubSpot, choose the account you want to connect, and approve access.
Back in Ignition, select Enable.
Enabling HubSpot starts your first sync. Ignition brings your companies across in the background and notifies you when it's finished.
You can also start from Clients → Import → HubSpot, then select Connect now.
Tip: The HubSpot panel shows the HubSpot account number you're connected to. If your companies aren't appearing, check this matches the account they're in.
Choosing which companies sync
You don't need to bring your whole HubSpot database into Ignition.
Go to Settings → Integrations, select HubSpot, then select Client settings.
Under Which HubSpot companies to sync, choose either:
All companies: every company in your HubSpot account.
Companies at a lifecycle stage or later: pick a stage, and only companies at or past it sync. New companies sync automatically once they reach that stage.
Select Confirm.
Choosing which client details stay in sync
On the same screen, Data to sync to Ignition controls how much of a linked client's details Ignition keeps up to date with HubSpot: everything, the client name only, or nothing.
Choose Nothing if you want HubSpot companies available to import and link, without their details overwriting what's already in Ignition.
Importing your HubSpot companies as clients
Syncing brings your HubSpot companies into Ignition, but it doesn't create clients on its own. You choose which companies become clients.
Go to Clients → Import → HubSpot.
Select clients: tick the companies you want to import.
Resolve duplicates: for each company that looks like an existing client, choose Link clients, Import as new or Don't import.
Import: your chosen companies appear in your client list.
Ignition matches each company against your existing clients on contact email address first, then on business name (ignoring endings like Ltd, Pty Ltd, Inc and LLC).
For each match you can choose Link clients if they're the same client, Import as new if they're different, or Don't import to skip it.
You can come back and import more companies at any time. Companies you've already imported stay linked.
Managing your HubSpot companies
To see every HubSpot company that has synced, whether or not you've imported it, go to Clients → App clients → HubSpot. From here you can:
Select Sync to pull changes from HubSpot straight away.
Use a company's actions menu to link it to an existing client, or unlink it.
Unlinking stops Ignition updating that client from HubSpot. It doesn't delete anything.
How syncing works
Ignition syncs HubSpot automatically once a day. Each sync refreshes your HubSpot company list and updates any linked clients, based on your Data to sync to Ignition setting.
If a company no longer matches your sync settings, for example its lifecycle stage moves backwards or it's deleted in HubSpot, Ignition archives it in your HubSpot company list. Any client you created or linked from it stays exactly as it is.
If a contact is removed from a company in HubSpot, Ignition removes it from that client's contacts at the next sync.
Disconnecting HubSpot
Go to Settings → Integrations, select HubSpot, open the 3 dots menu and select Disconnect app.
Disconnecting stops all syncing. Your Ignition clients, and the HubSpot companies already synced, stay in place. If you reconnect the same HubSpot account later, syncing picks up where it left off.
Note: If you connect a different HubSpot account, Ignition clears the companies and links from the previous account and starts fresh. Your Ignition clients aren't deleted, but they're no longer linked to anything in HubSpot.
FAQs
Why isn't a HubSpot contact showing in Ignition?
Only contacts associated with a company sync. The HubSpot panel shows how many contacts have no company, so you can associate them with a company in HubSpot and they'll sync next time.
Why can't I turn on HubSpot client sync?
Another app is already set as your client sync source. Turn that app's client sync off, then come back and set up HubSpot.
Why did a client's name change to a web address?
Some HubSpot companies are named after a website domain. If you link one to an existing client, and Data to sync to Ignition includes the client name, Ignition updates the client's name to match. Rename the company in HubSpot, or set Data to sync to Ignition to Nothing.
Does Ignition create clients automatically?
No. HubSpot companies land in your HubSpot company list, and only become clients when you import or link them.
Will changes in Ignition update HubSpot?
No. The integration syncs one way, from HubSpot into Ignition.
