Setup 3: The Payment Gateway (5 mins)

Let Ignition help get you paid automatically so you can stop chasing payments!

Setting up Ignition Payments lets you collect payments from your clients automatically, so you never need to chase a payment again. This is a one-time setup.

Once it is done, you only need to return if you change your bank account details.

Setting up the payment gateway takes two steps:

  1. Verify your identity (your personal, business, and ownership details, plus a government-issued ID).
    ​

  2. Add your payout details (the bank account where client payments are deposited).

To get started, go to Settings → Payments.

Step 1: Verify your identity

Before Ignition can collect payments on your behalf, it needs to confirm your identity. This is handled securely by our third-party payment processor and satisfies the Know Your Customer (KYC) financial regulations.

Select Verify identity to begin. If you started verification earlier and want to pick it back up, select Continue verification.

Verification opens in a new window, so make sure pop-ups are allowed for this site. During verification you will:

  • Enter your personal details and business ownership details.

  • Provide your business details, such as your legal business name and business number.

  • Upload a government-issued ID, or take a photo of it.

Please ensure your ID is within its expiry date and the image is clear and readable. If you are uploading a driver's license, upload the front and the back as two separate files.

Once verification is complete, continue to the next step.

Step 2: Add your payout details

Next, tell Ignition which bank account to deposit client payments into.

Enter the following:

  • Account holder name: this must match the name on the bank account.

  • Your bank account numbers: the labels shown depend on your country (for example, BSB and Account Number in Australia).

  • Client statement descriptor: this is how your business appears on your client's bank and credit card statements. A clear descriptor increases transparency and reduces the chance of disputes. It has a maximum of 16 characters, including spaces.

Note: If you are transacting in the UK, please note that the descriptor will automatically be set to 'IGNITIONPAY' which is what your clients will see on their statements. This currently cannot be customised.

When you are ready, select Save. Ignition then takes you to your payment settings.

Please note that the first payment through Ignition can take up to 7 business days after your account is fully verified. See this article for more on clearing times.


Collection Schedule

The collection schedule defines how many days Ignition waits before it collects a payment. By default, collection happens the same day, but you can extend your payment terms. To collect payment on the same day an invoice is raised, set the terms to Same day.

Manual billing collection terms apply to invoices that are generated manually, such as those in the Billed Manually section of a client's Billing Schedule tab (for example, On Completion or Estimate billing).

Automatic billing collection terms apply to invoices Ignition creates automatically, such as those in the Billed Automatically section of a client's Billing Schedule tab (for example, Recurring or On Acceptance billing).


Default payment methods

Choose which payment methods to offer your clients by default when you create a new proposal. You can override these defaults on each proposal or payment method request.

Best practice: turn all of these on.

  • Credit/Debit Card

  • Direct Debit

  • Require payment details to accept proposal: when this is on, clients can only accept a proposal once they have provided their payment details.

Online invoice payment options now live in their own sections. Use Pay from email to add a Pay Now button to invoice emails, and Pay via portal to give clients a link they can use to pay invoices.


Notifications

Choose which email addresses receive payment notifications, such as failed payments, errors, and new payment methods added by clients. Enter an address and select Add. You can add several addresses and remove any you no longer need.

Best practice: Use a generic accounts@ or admin@ email. Alternatively, a Practice Manager or Director/CEO can be notified here.

And just like that, you are set up to never chase a payment again. Let's keep going!


Card Fees

Ignition lets you pass card processing fees on to your clients. When this is enabled on your account, a surcharge is applied to any card payments your clients make.
