Learn how and when to use the Accept on your client's behalf functionality.

The Accept on client's behalf functionality allows you to move your Draft or Awaiting Acceptance proposals to an Accepted status without requiring your client's signature.

Make sure you have your client's permission to accept the proposal for them, as they won't be notified. Billings will be created for this client as detailed in the proposal.

Common use cases

  • Migrating existing agreements for billing/invoice automation

  • The client signing in person/on paper

  • Signature deemed not necessary to proceed

  • Admin purposes


How to accept a proposal on your client's behalf

From proposal editor

In the Send step of the proposal editor → click the drown arrow beside the Send via email button → select Accept on client's behalf.

Next, you must provide a reason for accepting on your client’s behalf for auditing reasons. The option to add a payment method or select one from the client's file is available here.

To confirm, click Accept on Client’s Behalf and this will accept the proposal.

From the Pipeline tab or the client's file

Find and select the proposal in the Pipeline tab or within the client's file, click More Action → select Accept on client's behalf.

Next, you must provide a reason for accepting on your client’s behalf for auditing reasons. The option to add a payment method or select one from the client's file is available here.

Proposal with options

It is not possible to accept a proposal with options on behalf of a client as it defeats the purpose of sending a proposal with options in the first place.

Your client will need to look at the options and be on the live proposal page to do this - meaning there’s no reason why they cannot select an option and accept the proposal right there.

However, if you accept on behalf of the client with a proposal with options, you will need to Edit the proposal → Remove the options → Accept on Client’s Behalf in the Send step of the proposal editor.

Proposal with add-on services

It is not possible to select optional services and accept a proposal on behalf of a client. Your client will need to review and decide to select services from the Add-Ons page on the live proposal.

However, if you need to accept on behalf of the client with a proposal with add-on services, you will need to Edit the proposal → Remove the optional services → Accept on Client’s Behalf in the Send step of the proposal editor.

Catch up periods

If you accept a proposal on a client's behalf that includes catch up periods, you will be notified before you can confirm the acceptance and input payment details that the proposal contains catch-up periods and the total minimum value.

Your client's experience

No email notifications will be sent to your client when a proposal is accepted on their behalf. Billings will be created for this client as detailed in the proposal.

Request a payment method after accepting on the client's behalf

With Ignition’s payment method requests, you can now easily send requests to clients to collect their payment details securely. Make it convenient for your clients to pay you and save time with billing, collection and reconciling payments.

Payment method requests can be sent to any client or multiple clients at once. Ignition will send a branded email that directs the client to a customer-branded portal to provide their payment details. You will then be able to use that payment method to collect for current and future active services.
