How to use add-ons when creating a proposal

Add-on services are incorporated when creating a proposal in the proposal editor. In the Services step of the proposal editor β†’ enable the Optional toggle to make a service optional.

Services with the Optional toggle on will be available for your client to review and add-on. Services without the Optional toggle will be fixed.

Using add-ons with proposal options

You can also add add-ons in conjunction with proposal options!

Once your client selects an option, they can select add-on services in the next step. Keep in mind that these add-ons will be associated with their specific option, so it's recommended to have some consistency across your add-on services.

To incorporate add-on services to a proposal with options, navigate to the Services step of the proposal editor → select the option→ and activate the Optional toggle to make a service optional.

Remember to mark services as optional across all your proposal options!


Your client's experience

Let clients add extra services that best suit their needs. This streamlined process ensures your clients have a smooth and tailored experience.

Your client will review the fixed services in the Services step. Next, is the Add-Ons step where they can review and select optional services by clicking +Add.

These services will be combined with their fixed services for review in the Pricing step.

Proposals options

For proposals with options, your client will review and select an option in the Options step. Next, they review the fixed services in the Services step. Next, is the Add-Ons step where they can review and select optional services by clicking +Add.

These services will be combined with their fixed services for review in the Pricing step.

Service Terms

If an optional service has service terms and is added by your client, the service terms will be added to the engagement letter.

Multi-signatories

Proposals with multiple signatories remain consistent in the proposal process.

The primary signatory can view the proposal with add-ons, select them, and sign. The secondary signatory can only view and sign the proposal without the ability to make add-on selections.


Your experience in Ignition

Proposal activity log

Any add-ons will also be logged in the proposal activity log.

Simply navigate to any accepted proposal via your Pipeline or in a specific client record and scroll down to the Activity section.

Proposal accepted notification

If you offer your clients a proposal with add-ons, you will be notified in the proposal acceptance email.

Workflow

Workflows include job templates for all optional add-on services mapped in your Services list.

Xero Practice Manager

If you mark a service as optional and there is an XPM Job Template linked to that service, it will appear as one of the prefilled XPM Job Templates in the Automation Tab of the proposal.

If the add-on service is not selected by your client, the job still deploys with the add-on service included as a service, but the XPM Job Template will not be added. This means you will have to edit and manage the XPM job once Ignition deploys it, depending on whether your client's choices.

Karbon

For Karbon, assuming that you have linked your Ignition services with Karbon work templates, the work templates will only deploy if the add-on service is selected. If your client did not select the add-on service, the Karbon work template will not be deployed.

Can you save add-on services to templates?

Yes, add-on services can be saved as part of a custom proposal template. Learn more about proposal templates here.

What happens when you renew a proposal with add-on services?

If a client selects optional services when accepting a proposal, those services will be included as agreed services in the renewal draft proposal. Unselected add-on services won't appear in the renewal draft but can be added later when editing the proposal.

Can a proposal only have add-on services?

A proposal or each proposal option should have at least one required service. This can be an included service paired with optional services for your client to select. Learn more about this use case in our Learning Centre guide!
