Use AI Service Creator to turn engagement letters, agreements, scopes of work, spreadsheets and meeting transcripts into draft services in Ignition.
AI Service Creator can help you build your Services library or add services directly to a proposal. Ignition extracts the service details from your document, checks for likely matches in your existing Services library and gives you a review step before anything is added.
Please note: AI Service Creator is an experimental feature available through Ignition Labs. AI-generated results can contain mistakes. Always review service names, descriptions, prices, taxes and billing details before confirming them.
What can AI Service Creator do?
AI Service Creator can identify service information in an uploaded document, including:
Service names
Service descriptions and scope
Prices and price types
Service-specific terms
Tax settings, where supported by the information in your document and your Ignition account
Billing timing or frequency, when adding services from the Proposal Editor
The feature works in two places:
| Use it when you want to | What happens when you confirm |
Services tab | Build or expand your reusable Services library
| Only the selected drafts are added to your library |
Proposal Editor | Turn a client document into services on the proposal you are currently preparing
| Existing services are reused; missing services are created in your library and added to the proposal |
Both workflows check extracted service names against active services in your Service library. The review experience is different because each workflow has a different goal.
Before you begin
Enable Turn documents into services in Settings → Labs, if it is available for your account. Learn how to do this in this support article.
Use a supported file: PDF, DOCX, XLS or XLSX.
Keep the file under 25 MB.
To use the feature inside a proposal, the proposal must use the Proposal Editor.
Creating new Services library records requires Admin access and the relevant service-creation permission. Users without this access can still reuse services that Ignition successfully matches to the existing library.
If your proposal is using the Standard editor, see this support article before switching. Once a proposal is switched to the Proposal Editor, it cannot be changed back to Standard.
Create services from the Services tab
Use this workflow when your main goal is to add reusable services to your Services library.
Navigate to Services.
Click Import → Upload document.
Click Choose file and select a supported document.
Click Continue. Ignition will process the document and prepare service drafts.
Review every proposed service.
Use the edit icon to correct a service's details before adding it.
Select the services you want to create, then click Add service(s) to library.
How existing service matches work in the Services tab
When Ignition finds a likely match, it displays an Existing service in your library card beneath the extracted service.
A matched service starts unselected, because creating it would add another duplicate service to your library.
A service with no likely match starts selected, because it appears to be new.
Click the existing-service card to review the matched library service.
If more than one service may match, Ignition displays the best match first and shows that there are multiple possible matches.
If the extracted service is genuinely different, you can select it and add it as a new service while keeping the existing service.
Example: Your document contains seven services already in your library and one new package. The seven matches will start unselected, while the new package will start selected. The confirmation button will show that one service is being added to the library.
You can also create services by describing them in plain English. From Services, click New service → Create with AI and follow the prompts.
Add services from the Proposal Editor
Use this workflow when you are preparing a proposal from an agreement, engagement letter, meeting transcript or similar client document.
Create or open a draft proposal in the Proposal Editor.
Go to the Services step.
Open the add-service menu and click Extract from document.
Click Choose file and select a supported document.
Click Continue. Ignition will extract the services and compare them with your Services library.
Review the Existing services matched and New services sections.
Clear the checkbox beside any service you do not want on this proposal.
Click Add service(s) to this proposal.
Back in the Services step, review the services, prices and billing groups before continuing with the proposal.
How existing service matches work in the Proposal Editor
Matched services are selected by default, because selecting them means add these services to the proposal, not create duplicates in the library.
For each matched service, Ignition:
Reuses the existing Services library record
Uses the existing service's library name, description and price
Uses the document's billing information to place the service into an appropriate billing group
Does not create another copy of that service in the library
Services without a likely match appear under New services. When an authorized Admin confirms them, Ignition creates them in the Services library and adds them to the proposal.
Important: A price quoted in the uploaded document does not replace the price of a matched library service. The existing library price is used. If the client-specific price should be different, edit it in the proposal after the services have been added.
Why do the checkboxes behave differently?
The checkbox always controls the action taken on the current screen:
In the Services tab, selected means create this service in the library. Matches are therefore unselected to help prevent duplicates.
In the Proposal Editor, selected means add this service to the proposal. Matches are therefore selected so Ignition can reuse them.
A selected matched service in the Proposal Editor is not treated as a new library service.
Best practices for better results
Start with a clear, text-based document
Use a document in which service names, scope and prices are written clearly. Text-based PDFs and DOCX files generally provide better input than scanned or photographed pages.
If your PDF is a scan, run optical character recognition (OCR) first or convert the important content into a DOCX file. Images are not currently accepted as standalone uploads.
Make each service easy to distinguish
Use one consistent name for each service. For example, avoid switching between "Monthly Bookkeeping," "Bookkeeping Monthly" and "Standard Books" unless they are intentionally different offerings.
Service matching focuses on names. Clear, standardized names improve matching and reduce the risk of duplicate services.
Include concrete service details
For each service, include as many of the following as possible:
A distinct service name
Deliverables and responsibilities
What is out of scope
Price and currency
Whether the price is fixed, per unit, a range, a minimum or included
Whether billing is one time or recurring
Billing timing or frequency
Deposit and balance details, where applicable
Service-specific terms
For more guidance on structuring client-facing services, see Creating services in Ignition and Writing Service Descriptions.
Separate confirmed details from possibilities
AI Service Creator may interpret tentative statements such as "around $2,000," "we might include payroll" or "I need to check the price" as service information. Clearly label items as confirmed, optional, estimated or out of scope, and remove irrelevant conversation from transcripts where practical.
Avoid conflicting prices and billing instructions
If the same service appears several times with different prices or billing frequencies, clarify which version is final. A short service summary at the end of the document can greatly improve consistency.
Keep your Services library tidy
Matching works best when your active library has clear names and does not contain unnecessary duplicates. Periodically review old, duplicate or inconsistently named services.
See Edit, Duplicate and Delete Services in the Service Library for help maintaining your library.
Review before you confirm
Pay particular attention to:
Similar service names that may have matched the wrong library service
Currency and tax
Decimal places, and whether a price is monthly, annual or one time
Deposits and balances
Per-unit versus fixed prices
Billing dates and frequencies
Scope copied from general conversation rather than a final agreement
After adding services to a proposal, review the resulting billing groups. See Service Types & Billing Rules for more information.
Test with a small document first
If you are importing a large service catalog, start with a smaller representative document. Confirm the names, prices and matching behavior, then move on to larger files.
For a highly structured catalog or a large bulk update, the CSV workflow may be more predictable. See Importing and Updating Services in Bulk Using a CSV File.
Protect client information
Upload only documents you are authorized to use. Remove personal, confidential or unrelated information that AI Service Creator does not need to identify the services.
Troubleshooting
Ignition did not find any services
The document may not contain enough clear information about service names, scope or pricing.
Try the following:
Upload a more detailed engagement letter, proposal or scope of work.
Use a text-based document instead of a scanned PDF.
Remove unrelated pages or transcript sections.
Make service names and confirmed prices explicit.
From the Services tab, try New service → Create with AI and describe the services directly.
A service was matched incorrectly
Matching is based primarily on service names. Compare the extracted service with the existing match before confirming.
In the Services tab, leave the service selected only if you want to create it as a separate new service.
In the Proposal Editor, clear the checkbox if you do not want to reuse that match. You can add or create the correct service manually from the Services step.
A matched service has a different price from the document
This is expected in the Proposal Editor. Matched services keep their Services library price. Add the services, then customize the price for this client in the proposal if required.
Changes made to a service inside a proposal do not update the reusable Services library template. Learn more in Creating services in Ignition.
The billing changed after the services were added
Some billing combinations in a source document cannot be represented exactly in a proposal. Ignition may use the closest supported billing structure and display a warning. Review the service's billing group and make any required adjustments before sending the proposal.
I cannot see the New services section in the Proposal Editor
Creating missing library services requires Admin access and the relevant service-creation permission. If you do not have access, you can add services that Ignition matched to the existing library, or ask an Admin to create the missing services first.
I cannot find Extract from document
Check that:
Turn documents into services is enabled in Settings → Labs.
You are editing a draft proposal with the Proposal Editor.
Your user role has access to the proposal and Services library.
FAQ
Does AI Service Creator send or publish anything automatically?
No. You review the results and choose what to add. When working inside a proposal, the proposal remains a draft until you complete and send it through the normal proposal workflow.
Will using it in the Services tab update existing services?
No. Existing matches are shown for comparison. Adding a matched extraction creates a separate service while keeping the existing service; it does not overwrite the existing record.
Will using it in a proposal create duplicate services?
Not when the service is successfully matched and reused. A new library service is created only for a selected service without an existing match.
Can I edit the results?
In the Services tab workflow, you can edit a draft before adding it to the library. In the proposal workflow, add the services and then customize them in the proposal's Services step.
Can I upload a transcript?
Yes. Save or export the transcript as PDF or DOCX. For best results, remove unrelated conversation and clearly identify confirmed services, prices and billing arrangements.
Can I upload a CSV file?
The AI document picker currently accepts PDF, DOCX, XLS and XLSX. To import a structured CSV service catalog, use Ignition's bulk service import workflow.
