If you offer Tax Return services to your clients, you can save hours by using Ignition to build ITR templates and even create 100s if not 1000s of ITR proposals instantly in bulk.
In this article, we will be covering a two different scenarios depending on what kind of ITR campaign your are running.
You engage with your tax return clients as they request your services and would like to use Ignition to engage these individuals and make sure you get paid on time.
You have a high volume of tax returns to complete for your regular clients and would like to send out ITR proposals in bulk for electronic signing and ensure you get paid on time.
Scenario 1 - Having an ITR template ready for when clients request your services
Step 1: Create a service in your Service Library called Tax Return (or something similar) with the standard price for a return as the default. Remember, you can change this price when adding it to a proposal.
If you've already created an ITR service, then you can skip this step.
Note: You can choose the default billing type at this stage, so think about they way you would like to get paid for your tax returns. Eg. Upfront, on completion, on completion with a deposit etc. However, you can still change this billing type when creating a new proposal.
Step 2: Create a new proposal and name it "Tax Return Template". Then add yourself + your own email (or a dummy client named Template Contact) as the contact for this proposal.
Step 3: Add the service you created in the Service Library to this proposal.
Step 4: Make any other changes to this proposal that you would expect to apply to an ITR proposal. Make sure you have enabled payments for this proposal if you haven't already under the Payments tab across the top of the proposal editor screen. Then save the proposal.
You've now got a draft template saved that you can duplicate any time you'd like to on-board a Tax Return client (click Actions --> Duplicate when you are viewing the draft proposal)
Scenario 2 - Creating and sending ITR proposals in bulk
--- Follow all steps in Scenario 1 above then proceed to the steps below ---
Step 1: Now that you have a draft proposal template, you will be creating a simple spreadsheet that can be shared with the Ignition onboarding team for bulk uploading.
Note: At this point, you may want to create more than one draft proposal template if you have different 'levels' or 'tiers' for ITR services. If this is the case, then feel free to create multiple draft templates as per Scenario 1.
Step 2: You'll need to get a list together of clients that you would like to bulk create proposals for.
In your Ignition account, jump into the Clients tab on the left hand menu. If your account is integrated to XPM then your full client list will already be in Ignition and you can export them to a spreadsheet by hitting Export at the top right.
If you aren't using XPM then you can hit Import at the top right and click on client import template to download a spreadsheet that you can add your client details to. Once you've uploaded these clients to Ignition, export them out again (so there is a client ID attached to it)
Step 3: In the spreadsheet with your client details you exported in step 2, add in a column on the right of the other columns named "Proposal". Within this column add in the Proposal ID for the template proposal each client will receive. You can see the Proposal ID by going to the Proposals tab and it'll be to the left of the proposal name.
You will want to choose the draft proposal you created in Scenario 1. If you have more than 1 draft proposal template, then you can assign the right proposal ID to the corresponding client.
Eg. Clients some clients will have proposal #20434 created for them and client others will have proposal #20435 created for them (see below)
Step 4: Once that's done simply email the spreadsheet to firstname.lastname@example.org and within 2 business days all those proposals will be created for you as draft proposals ready to to edit, review (if needed) & send out in one hit!
